At Codxine, we are committed to providing reliable, professional, and high-quality digital services. Because many of our services involve dedicated resources, customized work, development time, third-party services, and ongoing project management, refunds and cancellations are handled according to the terms outlined in this Refund & Cancellation Policy.
This Policy applies to services purchased directly from Codxine and should be read together with the applicable proposal, quotation, invoice, Statement of Work, service agreement, or other written agreement governing the client’s purchase.
Codxine does not impose a universal “no refunds under any circumstances” rule.
Refund eligibility depends on the nature of the service, whether work has started, the amount of work completed, third-party costs incurred, the applicable service agreement, and applicable law.
Where a refund is available under this Policy or an applicable agreement, Codxine will refund the eligible amount in accordance with these terms.
Nothing in this Policy is intended to limit any non-waivable rights or remedies available to a customer under applicable federal, state, or local law.
A client may request cancellation before Codxine has materially commenced work on the applicable service.
If Codxine approves the cancellation before work begins, the client may receive a refund of the amount paid for the unstarted portion of the service.
Any non-refundable third-party expense already incurred specifically for the client’s project may be deducted where applicable.
Once work has commenced, the amount eligible for refund may be reduced to account for services already performed.
If a client cancels a project after work has started, Codxine may retain amounts reasonably attributable to:
If an eligible balance remains after these deductions, Codxine will refund that balance.
Many Codxine services are customized specifically for individual clients and may require work to begin shortly after payment or approval.
These services may include:
For these services, a refund may not be available for work that has already been substantially completed or delivered.
For recurring or monthly services, cancellation will apply to future billing periods unless the applicable service agreement states otherwise.
Cancellation of a recurring service does not automatically create a refund for services already provided during the current billing period.
Where work for the current billing period has not yet commenced, Codxine may, where applicable, consider a refund or adjustment based on the specific service agreement.
Any cancellation deadlines stated in the applicable agreement will control.
For website, application, CRM, software, and other development projects, payments may be divided into milestones or project phases.
Once a milestone or phase has been completed and approved, the payment associated with that completed phase may be considered earned and may not be refundable, except where otherwise required by applicable law or agreed in writing.
If a project is cancelled before completion, Codxine may calculate the refundable balance based on:
Amount Paid − Earned Work − Approved Expenses = Potential Refund
The final calculation will depend on the specific project agreement and work performed.
Certain project costs may be paid to third-party providers.
Examples include:
Third-party costs that are non-refundable under the applicable provider’s terms may not be refundable by Codxine.
Where a third-party provider issues a refund to Codxine for a client’s expense, Codxine may pass the applicable refundable amount to the client.
A client may request changes to the project scope at any time.
Changes that materially increase the project’s scope, complexity, development time, or resource requirements may result in additional charges.
If the client chooses to discontinue the original project instead of proceeding with the revised scope, cancellation will be handled under the applicable cancellation provisions of this Policy and the project agreement.
Clients are responsible for providing the information, content, credentials, approvals, access, and other materials reasonably required to perform the service.
If a project is delayed because the client does not provide required information or approvals, such delay will not automatically create a right to a refund.
Codxine may also adjust project timelines where client delays materially affect the agreed schedule.
If Codxine materially fails to deliver a service that it has agreed to provide, the client should first contact Codxine so that the issue can be reviewed and, where appropriate, corrected.
Depending on the circumstances, Codxine may provide one or more of the following remedies:
The remedy will depend on the nature and extent of the issue, the applicable agreement, and applicable law.
If a client believes that delivered work does not conform to the agreed project scope, the client should notify Codxine promptly and provide reasonable details regarding the concern.
Codxine will review the matter against the agreed requirements and, where appropriate, provide reasonable corrections within the original scope.
A disagreement with the client’s personal preference, where the delivered work complies with the agreed specifications, does not automatically constitute grounds for a refund.
To request a refund, cancellation, or billing review, the client should contact Codxine in writing.
The request should include:
Codxine may request additional information reasonably necessary to evaluate the request.
Codxine will review refund requests based on the applicable circumstances, including:
A refund decision will not be based on arbitrary or undisclosed conditions.
When a refund is approved, Codxine will generally issue the refund using the original payment method where reasonably possible.
The time required for the refund to appear in the client’s account may depend on the payment processor, bank, credit-card company, or other financial institution.
Codxine is not responsible for delays caused solely by a third-party payment provider after the refund has been processed.
Clients are encouraged to contact Codxine before initiating a chargeback or payment dispute so that the matter can be reviewed and resolved directly where possible.
If a chargeback is initiated, Codxine may provide the payment processor or financial institution with relevant documentation, including invoices, agreements, project records, communications, approvals, and evidence of services delivered.
Nothing in this section is intended to restrict any lawful right a customer may have to dispute a transaction.
Codxine will not intentionally misrepresent the availability, amount, timing, or conditions of a refund or cancellation.
Where a refund or cancellation policy is presented to a customer before purchase, the material terms of that policy should be made available clearly and accurately before payment.
Certain promotional offers, discounted packages, subscriptions, or special projects may have additional refund or cancellation conditions.
Any material special terms will be communicated as part of the applicable offer, proposal, invoice, checkout process, or service agreement.
If a specific written agreement contains different refund terms, those terms will apply to the extent permitted by applicable law.
Nothing in this Policy is intended to waive, exclude, restrict, or eliminate any rights or remedies that cannot legally be waived under applicable federal, state, or local law.
If applicable law provides a customer with a mandatory right to cancel, obtain a refund, or receive another remedy, that right will remain unaffected.
Codxine may update this Refund & Cancellation Policy from time to time.
When material changes are made, the updated Policy will be published on this page with a revised “Last Updated” date.
The Policy applicable to a transaction will generally be the version disclosed to the client at the time of purchase, subject to applicable law and any subsequently agreed written terms.
